eBay Business Policies are one of the most underused features available to sellers. They let you create reusable payment, shipping, and return configurations that auto-apply to your listings — eliminating repetitive setup and reducing errors. Here's how to set them up for maximum efficiency.

What Are eBay Business Policies?

Business Policies are pre-configured sets of rules for three areas: payment policies (how and when buyers pay), shipping policies (carriers, costs, handling time), and return policies (whether you accept returns, the window, and who pays return shipping).

Why Business Policies Save Time

Before business policies, every listing requires manually setting payment method, shipping carrier and cost, handling time, domestic and international options, and return acceptance. This adds 2-3 minutes per listing. After business policies, you select your pre-configured policy from a dropdown. Done. Five seconds.

Setting Up Payment Policies

Recommended default: "Standard - Immediate Payment" with immediate payment required set to Yes. Without immediate payment, buyers can click Buy It Now without actually paying, tying up your inventory.

Setting Up Shipping Policies

Create policies for each weight/size tier:

Policy 1: Lightweight Items (Under 1 lb)

  • Name: "USPS Ground Advantage - Calculated"
  • Domestic carrier: USPS Ground Advantage
  • Cost type: Calculated
  • Handling time: 1 business day

Policy 2: Medium Items (1-5 lbs)

  • Name: "Priority Flat Rate or Ground Advantage"
  • Domestic carrier: USPS Priority Mail or Ground Advantage
  • Handling time: 1 business day

Policy 3: Heavy Items (5+ lbs)

  • Name: "UPS/FedEx Ground - Calculated"
  • Domestic carrier: UPS Ground or FedEx Ground
  • Handling time: 2 business days

Policy 4: Free Shipping

  • Name: "Free Shipping - USPS"
  • Cost: Free (build shipping cost into item price)

International Shipping

For each policy, decide on international shipping: No international shipping (simplest), eBay International Shipping (EIS), or Global Shipping Program (GSP).

Setting Up Return Policies

Policy 1: 30-Day Returns (Recommended)

  • Returns accepted: Yes
  • Return window: 30 days
  • Return shipping: Buyer pays

30-day returns actually benefits you with slightly better search placement, more confident buyers, and higher conversion rates.

Policy 2: No Returns

  • Returns accepted: No
  • Note: eBay still allows returns for "item not as described" regardless

How to Apply Business Policies

During listing, select from dropdowns. In bulk, use Seller Hub to change policies for multiple listings at once. With templates, link business policies so they auto-apply.

Business Policy Best Practices

  • Keep it simple — 3-5 shipping policies covers most situations
  • Review quarterly as carrier rates and eBay programs change
  • Match policies to item types (electronics get 30-day returns, heavy items get calculated shipping, etc.)
